How a Dental Clinic Group Cut No-Shows From 15% to Under 5% With Automated Reminders

A case study: how a 4-location dental clinic group cut no-shows from about 15% to under 5% with SMS and Viber reminders, a self-filling waiting list and automated insurance pre-approvals.

tl;dr

A dental clinic group with 4 locations lost about 15% of appointments to no-shows, and its front desk spent hours calling patients and chasing insurance pre-approvals by email. Code2b built automated SMS and Viber reminders with one-tap confirm or reschedule, a waiting list that fills cancelled slots, and insurance forms filled and tracked from the patient file. No-shows fell to under 5%.

Short answer: In 2026 Code2b built an appointment reminder and insurance system for a dental clinic group in Greece that cut no-shows from about 15% to under 5%. The group, with 4 locations, got there by replacing the front desk’s day-before phone calls with automated SMS and Viber reminders 48 hours and 3 hours before each appointment, each with a one-tap confirm or reschedule. Cancelled slots are offered to the waiting list automatically. The same system fills, submits and tracks insurance pre-approval forms, so the front desk only sees the cases that are rejected or stuck.

This is one of the ten projects on our projects page. The client stays anonymous, but the numbers are theirs.

The problem: empty chairs and a front desk on the phone

About 15% of appointments were lost to no-shows. For a clinic, an empty chair is pure loss: the dentist, the assistant and the room are paid for either way.

The front desk tried to fight it the only way it could, by calling patients the day before. That took hours, reached only the patients who picked up, and still left gaps that nobody had time to fill.

On top of that, insurance pre-approvals were chased by email, by hand. Every one meant copying details from the patient file and treatment plan into a form, sending it, and remembering to follow up.

What we built

1. Reminders patients actually answer. Every appointment gets a reminder by SMS and Viber at 48 hours and again at 3 hours before. Each one has a one-tap confirm or reschedule, so a patient who cannot make it says so in a second instead of simply not showing up.

2. A waiting list that fills itself. When a patient cancels or reschedules, the freed slot is offered to the waiting list automatically. A cancellation two days out becomes a booked chair instead of a gap.

3. Insurance pre-approvals without the chasing. Pre-approval forms are filled from the patient file and the treatment plan, submitted, and tracked. The front desk only sees the cases that are rejected or stuck for more than 5 days.

Two reminders beat one. The 48-hour message gives a patient time to reschedule and the clinic time to refill the slot. The 3-hour message catches the ones who simply forgot.

The result

  • No-shows fell from about 15% to under 5%.
  • Reminders, confirmations and rescheduling run automatically, instead of the front desk calling patients the day before.
  • Insurance follow-ups became an exception list. Staff handle only the rejected or stuck cases, not every form.

What other clinics can take from this

If you run a clinic or any appointment-based practice, the questions are simple:

  1. What share of your appointments are no-shows? If it is above a few percent, reminders with one-tap rescheduling are the first thing to try.
  2. What happens to a cancelled slot today? If the answer is “it stays empty”, a waiting list that fills automatically is the second half of the fix.
  3. How much time goes into insurance paperwork? Forms that can be filled from data you already hold are a good candidate.

Patient data needs care. Systems like this run on EU-hosted infrastructure, built to SOC 2 controls and GDPR aligned, with a DPA on request. See our security page for how we handle it.

Frequently asked questions

How much can automated reminders reduce dental no-shows?

In this clinic group, no-shows fell from about 15% to under 5% after SMS and Viber reminders went out 48 hours and 3 hours before each appointment, each with a one-tap confirm or reschedule.

Why send reminders by Viber as well as SMS?

Patients answer the channel they already use. Sending on both SMS and Viber reaches more patients, and a one-tap reply makes confirming or rescheduling effortless.

What happens when a patient cancels?

The freed slot is offered to the waiting list automatically, so a cancellation becomes a booked appointment instead of an empty chair.

Can insurance pre-approvals be automated?

Yes. Forms are filled from the patient file and treatment plan, submitted and tracked. Staff only see cases that are rejected or stuck for more than 5 days.

Is patient data safe?

The system runs on EU-hosted infrastructure, built to SOC 2 controls and GDPR aligned, with a DPA on request under a GDPR Article 28 agreement.
